Who we are
qnow (qnow.co.uk) is run by Jayce Clarke. Contact us about anything on this page at privacy@qnow.co.uk.
Who this covers
qnow is used by businesses that run queues, their staff, and customers who join those queues.
When you join a business's queue, that business is responsible for your queue details and qnow runs the queue on its behalf. qnow is responsible for business accounts, for the "My tickets" features (your ticket list, email linking and alerts), and for the security records described below. You can contact either the business or us; if your request is for the business, we'll pass it on.
What we collect
When you join a queue: the details on the join form (your email address and the name or names you enter), and your ticket: which queue, your number, and when you joined, were called, checked in, moved, served or cancelled.
If you use My tickets: your phone or browser keeps a list of your tickets. If you link your email to a device, or turn on alerts, qnow keeps a record of that device so it can show and notify you about your tickets at any business using qnow. You start both, and you can unlink or turn off alerts from My tickets at any time. Devices unused for six months are deleted automatically. Alerts use a token from your browser so we can deliver them.
Businesses and staff: names, email addresses, passwords (stored scrambled, so we can't read them), business and location details, queue settings, staff roles, and a record of staff actions such as calls and breaks. Payments are handled by Stripe; we never see or store card numbers.
Anyone using the site: your IP address and browser details, used to keep the service secure (login lockouts, limits on repeated requests and bot checks), and anything you send us through the contact or pricing forms.
Why we use it
- To run queues, and send ticket emails and alerts, on the business's behalf.
- To provide business accounts and take payment (our contract with the business).
- To link your email and send alerts, because you asked us to. You can stop this at any time from My tickets.
- To keep qnow secure and prevent abuse (our legitimate interests).
- To keep billing records the law requires.
We don't sell your data, use it for advertising, or use tracking or analytics cookies.
Who else handles it
We use these providers, only to run qnow:
- SMTP2GO sends our emails.
- Google Firebase Cloud Messaging delivers alerts.
- Stripe handles payments.
- Cloudflare runs our bot checks and security.
- Railway hosts the site.
- Neon hosts the database.
Some of these providers are based outside the UK, mainly in the US. Where data leaves the UK, it is protected by UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, or the ICO's International Data Transfer Agreement or Addendum.
How long we keep it
- Tickets and group bookings: Your name and email are removed from your ticket once the queue's session has finished (for queues that are always open, at the end of the day). Ticket numbers and times are kept without your details, so businesses can see how busy they were. We keep no customer list.
- Devices linked to My tickets: deleted after six months unused.
- Recovery links and codes: expire after 15 minutes and are deleted within a day.
- Closed business accounts: business data is deleted 90 days after the account is cancelled. We keep a record of who closed an account, and when, for 3 years for our business records, then delete it.
- Security records (login attempts): kept only as long as needed for security.
- Contact and pricing messages: Messages you send us through our contact or pricing forms are deleted 12 months after you send them.
- Payment records: kept by Stripe for as long as the law requires.
Deleted details may remain in our database backups for a short time, until those backups expire.
Cookies and storage
We only use what qnow needs to work: a login session, a security token for forms, a short-lived cookie (15 minutes) when you recover your tickets, and storage on your device for your ticket list, alerts, and whether you've dismissed the install prompt or a site notice. Cloudflare processes technical details such as your IP address when it checks you're not a bot.
Your rights
You can ask us to: see the data we hold about you, correct it, delete it, restrict or object to how we use it, or give you a copy to take elsewhere. Where we rely on your consent, you can withdraw it at any time. Contact us at privacy@qnow.co.uk.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If we change this notice, we'll update this page and the date at the top.
